1. Who is collecting your information
This website and its waitlist are operated by rycova. Questions about this notice, and requests to access or correct your information, can be sent to the contact address in the footer of this site.
2. What we collect on the waitlist
Your name, work email address, role, specialty, the size of the practice, its state or territory and, if you choose to give them, the hospitals you operate at, an approximate number of operations a month and a short note about what you would want rycova to do. Please do not include patient information in the free-text boxes.
3. Why we collect it
To confirm that the email address is yours, to plan early-access waves, and to contact you about early access. If you tick the separate box, we also send occasional product updates. We do not use the information for anything else.
4. Confirmation and your choices
Nothing is kept as a registration until you click the confirmation link we email you. Early-access contact and product updates are separate choices. You can change either, or withdraw from the waitlist altogether, using the link in the confirmation email or by writing to the contact address in the footer of this site. Joining the waitlist does not create a product account or start a subscription.
5. Where your information is held, and who helps us
The waitlist is held in a database in Sydney, Australia, on Amazon Web Services, and the emails we send you go through Amazon Simple Email Service from the same region. No other organisation receives your details. We do not sell information, and we do not use it for advertising.
6. Technical records and analytics
This site uses no analytics service, advertising pixel or session recording. Our servers keep ordinary technical logs, such as the address a request came from and the page it asked for, for a short period for security and reliability.
7. How long we keep it
An entry that is never confirmed is deleted thirty days after it is made. If you withdraw, your entry is deleted thirty days after that. A confirmed entry is kept while the early-access programme runs, and removed within twelve months of the programme closing. If your practice joins rycova, its account is created separately; your waitlist preferences are not carried into it.
8. Access, correction and complaints
Write to the contact address in the footer of this site to see or correct what we hold about you, or to complain about how we have handled it. We reply to every request. If you are not satisfied with our response you can contact the Office of the Australian Information Commissioner at oaic.gov.au.
9. AI processing in the product
rycova’s product has two features that use a language model, both switched on only by a practice owner and recorded when switched. Drafting a pathway sends the text of the practice documents a member selects; it never sends a patient record. The assistant sends the member’s question and the results of read-only look-ups, with patients shown as temporary references rather than names; known patient names, emails and phone numbers are removed from the question before it is sent, as a best-effort filter that cannot recognise every identifier in free text. The model is Anthropic’s Claude run by Amazon Web Services on Amazon Bedrock under an Australian profile, so a request is processed in Sydney or Melbourne and nowhere else. Content is not used to train models and request logging at the service is switched off; Amazon Web Services may hold prompts and outputs within Australia for abuse detection. rycova keeps a record of each job (who, when, which documents, the model and token counts, never the text), keeps assistant conversations for thirty days, and includes those conversations in the practice’s export but never in a patient’s. The full data-handling statement is provided to a practice with the product notice.
10. Patient information
The patient application has its own privacy notice, covering health information, AI processing and your practice’s responsibilities. That notice is provided to a practice when it joins, and to patients through their practice. This website notice does not cover it.
